Draft of Minutes of Board of Trustees Meeting of November 17, 2011
Salem, Massachusetts November 17, 2011
A meeting of the Board of Trustees was held this date at 4:05 pm at the Library with Trustees Little, Merry, and Salerno present and Trustee Yale present and presiding. Ms. Tracy was present. Mayor Driscoll and Trustee Buckley were absent.
The draft minutes of September 22, 2011 were discussed. Minor changes in wording were requested regarding Trust Fund Management fees and the fee for the audit.

Current Library Use and Financial reports were distributed. These included the
FY 2011 Financial Statements and tax filings prepared by R. Peter Avila. After some discussion on what should be listed on the balance sheet Trustee Salerno made a motion to accept the Financial Statements as submitted. Trustee Yale seconded the motion and it passed unanimously.
A Holiday Gift for the staff was discussed. Despite the effect the bad economy has had on the Trustees’ trust funds performance, the Trustees voted to give all staff members a monetary gift at the same level as last year. Ms. Tracy expressed just how much the staff has appreciated the gifts in past years.
Ms. Tracy reported that the new roof lighting with a motion sensor has been installed as well as a bicycle rack in front of the Library. Ms. Tracy also reported the lighting upgrade for the Library is scheduled for the week of December 5-9th. The work is to be done after the Library is closed with Custodian Kevin Foucher to work nights instead of days in order to oversee the project.
The Trustees discussed the Trustee vacancy. No decision was made.
There was a discussion on the vacation policy. The Trustees asked Ms. Tracy to request some written clarification from the Human Resource Director for the next meeting.
Ms. Tracy announced the move to a new Open Source Integrated Library System originally scheduled for January 1, 2012 has been moved to the end of May.
Ms. Tracy reported the donation of Spanish language books on the events and people of the Dominican Republic. These books were presented to the Library by the President of the Dominican Bolivian Newspaper Union at a ceremony honoring the Mayor and the Council on Aging.
